Privacy and personal data
This page explains what we take from you when you book on clubsunvillage.com or contact us, why we take it and what we do with it. Every point below describes what the site actually does.

What we collect
Only what we need to make the booking and host you:
- From the booking form: full name, telephone, e-mail, country, estimated arrival time and any special request
- If you add an airport transfer: your flight details
- The booking itself: dates, room type, board, number of guests and children's ages, amount and payment method
- If you write to the chat assistant: the messages you send
- Technically: your IP address (abuse protection and server logs)
Why we collect it
- To create and confirm your booking and prepare your stay — necessary to enter into and perform the contract
- To send you the voucher and the e-mails about your stay
- For the accommodation register, invoicing and notifications required by Turkish law — a legal obligation
- To prevent abuse of the form and the chat — legitimate interest
Who we share it with
Your data is never sold or rented to any third party for advertising or marketing.
- Our hotel management system, which runs on our own server, so the booking reaches reception
- Our e-mail provider, to deliver the voucher and notifications
- If you write to the chat assistant, your message is sent to an AI service provider outside Türkiye so that an answer can be generated; please do not send identity or card details there
- Public authorities where the law requires it
Where it is stored
Our servers are in Germany (Falkenstein). Booking records and their backups are kept there.
Messages you send to the chat assistant are additionally transmitted to a service provider outside the European Union.
How long we keep it
Booking and accommodation records are kept for the periods required by Turkish tax and tourism law and deleted at the end of those periods. Your chat history stays only in your browser while that tab is open and is cleared when you close it.
We do not use cookies
There are no advertising or tracking cookies on this site. Visitor measurement runs on our own server with a tool that sets no cookies and does not identify individuals; we only see aggregate figures — which page was viewed how often, from which country and on what kind of device.
Small items such as your chat history and language preference are held in your browser's own storage and never leave your device.
Early-booking list
If you leave your e-mail address in the form in the footer or on the booking page, we use that address only to announce next season’s rates and the opening of the early-booking window. We use it for nothing else, and we neither pass it on nor sell it.
This one rests on your explicit consent: the box in the form is unchecked and nothing is recorded until you check it. You may withdraw at any time — write “please remove me from your list” to [email protected]. We take you off the list; we keep the record of when consent was given and withdrawn, because we have to be able to show it. Joining the list is not required in order to book.
Your rights
You may ask whether we process your personal data, request information about it, learn whether it has been used for its purpose, learn who it has been transferred to in Türkiye or abroad, ask for correction if it is incomplete or wrong, ask for deletion where the conditions are met, and claim compensation if you suffer damage.
